How retail and e-commerce businesses in the UK and India can grow with AI, automation and custom software

Direct answer. Shops and online sellers in the UK and India grow with AI, automation and custom software when one product and stock record feeds every channel, a payment is matched to an order before anyone picks, and a person still approves a price change, a short pick, a review or a refund. Cogitix builds that layer beside the till and the tax system. This article does not invent a savings percentage.

The examples are patterns, not client stories. Public rules are named and linked. This is not legal, tax or payment advice. Read the source for the role you have, then ask a qualified adviser before you rely on it.

Where orders actually stall

A UK shop morning and an Indian seller morning use different apps for the same leak. Someone retypes a fact that already exists, and a customer waits because the available quantity is a guess.

In the UK the website, a marketplace queue and the till disagree about the navy size medium. The count lives on a tally or in a group chat, and returns sit in a mailbox. In India a website, a marketplace, a WhatsApp thread and a warehouse in another city share the same hour. A UPI credit arrives with a note that does not match the order. Cash collected on delivery is written down for the accounts person to see tomorrow.

The useful question is the same in either country. Which single handoff, if it became one record, would stop you selling stock you cannot pick, or dispatching an order you have not been paid for?

Pick one workflow, not a new commerce suite

Replacing the website, the till, the tax invoice and an AI layer in one go usually leaves the floor on the old tool, because the new one cannot print the document the accountant or the courier already expects.

Choose a first workflow you can point at: a named trigger, such as a paid order, a return or a payment with no order number; a person who can say within a week if the new path is worse; a finish line that is a fact, such as a reserved unit, a matched payment or a ticket the customer can quote; and a rollback, so Monday's orders still leave if the pilot misbehaves.

That is the right start for digital transformation consulting. The exceptions are the requirements: a bundle of three SKUs, a shirt made to a measurement, delivery included only past a threshold, a marketplace colour that is not the colour the customer thought they bought.

Three builds that change the shape of the week

1. One product record for every channel

The website, the shop label and the marketplace feed should share one record: title, variant, the price the customer will pay, the quantity you will promise, and the returns text. A model may draft from attributes you already store. Publish the merchandiser's edit. Do not let it invent a fabric, a size or a safety claim. The Office for Product Safety and Standards explains UK product safety duties.

In the UK the page is what you described. The Consumer Rights Act 2015 covers satisfactory quality, fitness for purpose, goods as described, and a short-term right to reject. The Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 set pre-contract information and a cancellation right for many distance contracts, with exceptions such as perishable or made-to-specification goods. Store the rule you rely on. CMA guidance on unfair commercial practices under the Digital Markets, Competition and Consumers Act 2024 covers drip pricing: show compulsory charges before the customer pays.

In India, read the Consumer Protection (E-Commerce) Rules, 2020 for your role. The rules, listed by the Department of Consumer Affairs, distinguish a platform, a marketplace seller, and an inventory seller of its own stock. Marketplace sellers and inventory entities must show a total price in one figure, with charges such as delivery and tax broken out, and accurate return terms. Purchase consent is an explicit action, not a pre-ticked box. Keep Legal Metrology (Packaged Commodities) Rules, 2011 declarations on the same record. If you join ONDC, send this catalogue. ONDC describes itself as an open network from the Department for Promotion of Industry and Internal Trade, not a single app. Cogitix builds the shop front as custom web or a mobile app.

2. Match the payment before anyone picks

The match result is matched, short, failed, or cash still to collect. A chat screenshot does not start a dispatch. In the UK, store a payment reference and an amount, not a card number. Open Banking is the regulated route for a bank payment. If you are in scope for Making Tax Digital for VAT, hand the accountant a digital record. This guide quotes no HMRC savings figure.

In India, UPI is a normal way to pay. Match the credit by amount, time and a reference you created, and let a person check failures. The Reserve Bank of India's Master Direction on Regulation of Payment Aggregators (2025) tells aggregators to show charges other than the price before confirmation, and it describes cash on delivery as banknotes at delivery. That order stays unpaid until collection is recorded. Where GST e-invoicing is notified, create the invoice in your billing system and store the Invoice Reference Number from an Invoice Registration Portal. The GST e-invoice portal describes the flow. This article does not repeat a turnover figure.

A refund needs a state the customer can see and a person who approves it. The 2020 rules say an e-commerce entity effects accepted refunds as prescribed by the Reserve Bank of India or other law. In the UK the path follows the Consumer Rights Act and the distance-selling regulations, including the exceptions.

3. Questions, reviews and the returns desk

Answer size, delivery and stock from the product and the order. An assistant may draft. A person sends anything that changes money, stock or a promise. That is how AI agent integration should sit beside retail, the same limit as Cogitix's note on autonomous agents. Do not mark an order dispatched from a draft.

In the UK, paragraph 13 of Schedule 20 to the Digital Markets, Competition and Consumers Act 2024 bans fake reviews and reviews that hide an incentive. legislation.gov.uk records that this paragraph came into force on 6 April 2025. Do not ask a model to write a review. The Competition and Markets Authority explains the ban in CMA208. In India, marketplace sellers and inventory entities must not pose as consumers to post reviews. An e-commerce entity and a marketplace seller need a grievance officer who acknowledges a complaint within forty-eight hours and redresses it within one month, plus a ticket number the customer can track.

A Press Information Bureau release of 10 September 2026 says the Consumer Protection (E-Commerce) (Amendment) Rules, 2026 strengthen rules on grievances, search results, sponsored listings, price reductions, dark patterns and seller disclosures, from 1 January 2027. Keep the ticket, the price breakup and any sponsored label as data. Publish ranking parameters in plain language. Pages that state price, delivery and returns in quotable sentences are the work of answer engine optimisation and generative engine optimisation. A shared audit of price changes is the shape of cloud-based SaaS.

What is different in the United Kingdom

A UK pattern, not a named client: a clothing business with a website and two shops. First, one stock number per variant, with each shop as a location. Then match card and bank payments before picking. Later, draft returns replies a person sends. The same sequence, without these statutes, is in how to improve workflows using AI.

What is different in India

  • The 2020 rules also apply to an e-commerce entity outside India that systematically offers goods or services to consumers in India. Apply the duties for the role you have: platform, marketplace seller, or your own stock on your own site.
  • If you cancel after the customer has confirmed, do not impose a cancellation charge unless you bear a similar charge when you cancel. That limit is in the 2020 rules for e-commerce entities.
  • Under the Digital Personal Data Protection Act, 2023, name a purpose and limit what you collect. The Ministry of Electronics and Information Technology is the ministry for that Act. Identified order history is not a default training set.
  • Support the languages the desk uses. Let staff correct a Hindi or English draft before it is sent.

An Indian pattern, not a client claim: a home-goods seller with a website, one marketplace and a WhatsApp catalogue. First, one order a payment can match. Next, the price breakup and the grievance ticket. An assistant comes after that queue is visible. Clinics use different public rails, covered in the healthcare guide.

Buy, configure, or build

Buy or configure when the platform's checkout, tax settings and marketplace connectors match how you sell, and the vendor will carry the payment-security duties your provider asks about. Build when one shop cannot hold both the UK consumer path and the Indian e-commerce rules plus GST e-invoice reporting, when your bundle or made-to-order pricing is why people buy from you, when you need an audit of price changes and refunds the product cannot export, or when other sellers will use the workflow. That last case is end-to-end product development.

Leave the accounting or GST system as the tax record. An agent prepares. A person accepts. The order record stays in charge.

A 90-day pilot a shop lead can follow

Days 1 to 15. Watch one queue. Write the exceptions, the rollback, and why you may use the customer data.

Days 16 to 45. Ship the shortest path for one team. Log every acceptance. Nothing that changes price, stock, a review or a refund is written silently.

Days 46 to 75. Recount facts two people can agree: wrong-variant dispatches, unmatched payments, returns opened because the page and the product disagreed, tickets still open. This guide offers no benchmark percentage. A borrowed statistic would describe someone else's shop.

Days 76 to 90. Widen to a second channel, or stop. Use a weekly half hour with the shop or warehouse lead to talk about exceptions.

Human checkpoint before a retail draft becomes the order Four boxes: a catalogue or payment fact, a software draft that is not yet the order, a person who edits, and the order record. Catalogue or payment fact Software draft not yet the order Person edits Order record
A draft reply, a suggested refund or a guessed payment match is not the order until a person accepts it.

Questions about retail software with Cogitix

What is Cogitix?

Cogitix, short for Cogitix Tech Solutions, is an AI agency. It builds AI agents, AI automation and AI-powered custom software, and it delivers working software quickly for clients worldwide. The canonical website is https://www.cogitix.io/. The cogitix.in domain is an alias of the same site. The public email is hello@cogitix.io.

How can a UK shop automate orders without replacing the till?

Keep the till and the tax records as the systems of record. Add one stock number per variant, with each shop as a location, and match card or Open Banking payments to the order before picking starts. Show compulsory charges before payment, follow the Consumer Rights Act 2015 and the 2013 distance-selling regulations on the returns path, and let a person approve refunds and any published review workflow under the DMCC Act.

What should an Indian seller show on a product page?

Read the Consumer Protection (E-Commerce) Rules, 2020 for your role. Sellers on a marketplace and inventory e-commerce entities have to present a total price in a single figure with the breakup of charges such as delivery and tax, plus accurate returns information. E-commerce entities and marketplace sellers need a grievance officer who acknowledges a complaint within forty-eight hours and redresses it within one month, and the customer needs a ticket number. Keep Legal Metrology declarations on the same product record, and report a GST e-invoice only when your turnover is in the notified set.

When is custom retail software a better fit than an off-the-shelf shop?

Custom software fits when you operate across the UK and India, when your bundle, made-to-order flow or pricing is the reason customers choose you, when you need an audit of price changes and refunds the product cannot export, or when other sellers will use the workflow. Otherwise, configure a platform whose vendor will accept the payment-security duties you have.

What should a 90-day retail pilot include?

One queue, one team, a rollback, and a human checkpoint on price, stock, reviews and refunds. Recount facts you can observe twice, such as unmatched payments, wrong-variant dispatches and returns caused by a page that disagreed with the product. At day 90, widen the pilot or stop. Cogitix does not publish a standard savings percentage, because that number would not describe your shop.

Does Cogitix publish a phone number or a street address?

No. The site publishes the email hello@cogitix.io and hours of Monday to Saturday, 9:00 am to 6:00 pm. A telephone number and a street address are not listed.
