How real estate businesses in the UK and India can grow with AI, automation and custom software

Direct answer. Estate agents in the UK and developers in India grow with AI, automation and custom software when one property file holds the facts a listing or a quarterly return will publish, each fact has a source and a status, and a person accepts the field before it is sent. Cogitix builds that file beside the portal login and the spreadsheet the office already uses. This article does not invent a savings percentage.

The examples are patterns, not client stories. This is not legal, conveyancing, RERA or tax advice. Read the source for your role, then ask a qualified adviser before you rely on it.

The file that is rebuilt for every listing

A UK listing and an Indian project page are both public promises. The promise is still assembled from a seller's email, a lease PDF, a site photograph and a professional certificate that do not live in the same record.

In the UK the duty is already live, and the checklist is not. The material information consultation, updated 19 June 2026, says that under the Digital Markets, Competition and Consumers Act 2024 an agent should give a buyer, upfront, what an average consumer needs in order to decide. The Act has no prescribed residential list, and the page says no sector-specific guidance has been produced since the Act came into effect. Omitting a fact that would have ruled the property out can be a misleading omission. The consultation ran from 6 October to 29 December 2025. It says technical facts, especially construction, are hard to obtain and verify, and that some agents skip the ask because they believe it could deter a seller.

Letting Agent Today, on 2 February 2026, reported Propertymark's view that the requirement "places too high of a responsibility on estate agents and sellers", that overlapping forms should become "a single set of information", and that sharing should happen "through a single digital access point". Sellers "wish to put the property on the market as quickly as possible", so agents who wait lose instructions.

The roadmap, also updated 19 June 2026, records the replies. On barriers, 155 responses were provided. The most frequent issue was lack of expertise and reliance on other professionals (39 per cent of all consultation responses). Forty-four per cent of estate agents called consumer barriers significant: sellers often do not know the facts, or will not disclose something that could affect price. Sixty per cent of surveyors raised the uneven playing field. On the next question, 53 per cent of consultation responses wanted standardised forms (171 responses were provided). On accuracy, 48 per cent said guidance could require trusted information or proof of source (142 responses were received).

In India the quarter does not count until other people have signed it. UP RERA's guide for the quarter ending 30 September 2026 says the report is complete only when achievements, photographs and videos, and the architect, engineer and chartered accountant certificates are digitally signed, in that order. One certificate, or another project's link, is not a filed quarter. MahaRERA says information should stay current under section 11, warns if nothing is updated for more than 90 days, and says an uploaded document cannot be withdrawn. A building completion date cannot pass the revised proposed date. Gujarat's procedure gives seven days from the quarter end, says the three-certificate return is not revised later, and locks later quarters after a miss.

Why a rebuilt file loses the instruction

The cost is an instruction or a quarter that waits while two versions of one fact are defended, and a public line that cannot be unsaid.

On 18 June 2026 the Ministry of Housing, Communities and Local Government said sellers and agents will have to provide sales packs at listing: condition, leasehold costs and chain status. National Trading Standards records that as an intention to introduce sales packs. The news page times guidance to later in 2026 and mandatory-pack legislation to the end of the Parliament. It states figures this article will not treat as a Cogitix result: around 120 days for an average purchase, one in three sales falling through, and fall-throughs costing sellers around £400 million a year, attributed to research identified in the HM Land Registry Strategy 2025+. A cut of around four weeks and an average £650 first-time-buyer saving are estimates on that page. Rightmove's chief executive Johan Svanstrom is quoted there with 170 days and over one in five transactions initially falling through.

For a promoter the stuck file becomes a complaint record. The Hindu, on 23 February 2026, reported Karnataka at 80 per cent disposal of complaints in a central status report, and reported the Forum for People's Collective Efforts calling disposal a judgment rather than keys or a refund. From the Karnataka site as of 23 January 2026, the forum compiled 2,325 revenue recovery certificates worth ₹1,081.84 crore, of which 282 cases and ₹110.27 crore had been recovered. Software does not collect that recovery. It keeps the dates and certificates the complaint will ask for.

Start with one property or one tower

Keep the portal and the accounts ledger. Add a record beside them for one UK instruction or one Indian tower. The finish line is a field, a source file, a status (known, waiting, not applicable, or needs a professional) and a name that accepted it. Waiting is not zero. Keep a rollback to the old particulars. That scope is what digital transformation consulting should start from. Write the awkward cases on the record: a missing lease, a Gujarat block code that cannot be edited later, a Maharashtra date past the revised completion date, a UP link opened for the wrong project.

Four steps that put a source on the field

1. Write the property once

Store the address or the tower the office already uses. For a UK sale, start with price, council tax, tenure and time left on the lease, ground rent or service charge, flood risk, construction and building safety. For an Indian project, start with bookings, the percentage of work, photographs, the three certificates, and the completion date checked against the revised date. Capture those fields in custom web or a mobile app the team already opens. Leave the portal as the place you submit.

2. Ask the person who knows

A remaining lease term comes from the lease, not the brochure. A completion percentage comes from the engineer, not last quarter's slide. An assistant may draft the chase from blank fields and may suggest which PDF a sentence came from. It must not invent a term, a booking count, a percentage or a certificate. That limit is AI agent integration, the same limit as the note on autonomous agents. The roadmap's respondents asked for proof of source. The source is the file, the date and the person, stored on the field.

3. A person accepts the field before it is public

Waiting opens a task before the listing or the quarter deadline. A model may propose a match. A person accepts it, and the PDF stays attached. Software can refuse to call a UP quarter ready until the architect, the engineer and the chartered accountant have each signed, in that order. It cannot sign the token. A completion date past Maharashtra's revised date is rejected in the file, before anyone types it into a screen that will not take it back.

4. Send one pack a person has read

Build the listing and the quarterly submission from the accepted record. Propertymark, as reported in February 2026, wanted a short list on the listing and the full set when a buyer asks. The June 2026 news page describes a sales pack with condition, leasehold costs and chain status. Prepare that as a draft. Do not present the government's four-week or £650 lines as your branch's result. Sentences a buyer can quote, only at the figure the file supports, are answer engine optimisation and generative engine optimisation. Several projects on one history is cloud-based SaaS. A workflow other firms will run is end-to-end product development.

What is different in the United Kingdom

The consultation page says the guidance it discusses starts with residential sales. Lettings wait, because renting law is changing with the Renters' Rights Bill. Do not copy sales fields onto a let and call them done. Sales packs are not yet the statute the news page dates to the end of the Parliament. The duty not to omit material information is already described as law. A UK pattern, not a client: a branch that lists leasehold flats. Put tenure, years remaining, ground rent and service charge on one file before the portal, each with a source or an explicit waiting status. The same habit is in how to improve workflows using AI.

What is different in India

The three state pages are not one national screen. Build the checklist for the authority you file with. Keep a copy: Maharashtra says an upload cannot be withdrawn, and UP RERA's guide says to download each certificate PDF. Let staff correct a Hindi or English draft before it is typed in. An Indian pattern, not a client: a promoter with more than one project. This quarter, one tower. Photographs, achievements, three certificates, and a status that stays waiting until the signed PDFs are stored. Do not reuse another project's link. Shops, clinics and plants use different records, in the retail guide, the healthcare guide and the manufacturing guide.

Buy, configure, or build

Buy or configure when a product already stores the field, the source, the status and the person who accepted it. Build when one office holds both UK listing fields and Indian quarterly packs, when three professionals must sign in order, or when you need a history of a figure the portal will not let you delete. The property file prepares a submission. A person sends it.

A 90-day pilot a branch lead can follow

Days 1 to 15. One property or one tower. List the missing fields, the rollback, and who may see a seller's lease or a buyer's complaint file.

Days 16 to 45. The shortest path for one team. Log every acceptance. A tenure, a percentage, a completion date or a certificate goes out only after a person accepts it.

Days 46 to 75. Recount fields still waiting, listings that went out with tenure blank, and quarters that would have been incomplete because one certificate was missing. There is no benchmark percentage in this guide.

Days 76 to 90. Add a second property or a second tower, or stop.

Human checkpoint before a property field is published Four boxes: a source file, a software draft that is not yet the fact, a person who accepts or returns it, and the listing or quarterly return that can be sent. Source file lease, photo, certificate Software draft not yet the fact Person accepts Listing or return sent
A drafted tenure, a suggested percentage or a guessed certificate match stays a draft until a person accepts it.

Questions about real estate software with Cogitix

What is Cogitix?

Cogitix, short for Cogitix Tech Solutions, is an AI agency. It builds AI agents, AI automation and AI-powered custom software, and it delivers working software quickly for clients worldwide. The canonical website is https://www.cogitix.io/. The cogitix.in domain is an alias of the same site. The public email is hello@cogitix.io.

What should a UK estate agent keep before a listing goes live?

The material information consultation, updated 19 June 2026, says agents should give a buyer the facts they need before they decide to go further, and that omitting a fact that would have ruled the property out can be a misleading omission. The Act does not prescribe one residential list. The consultation's own category list includes price, council tax, tenure and time left on the lease, ground rent or service charge, utilities, flood risk, construction, known defects and building safety. The roadmap says respondents asked for a standard form and for proof of source. Keep each field as known, waiting, not applicable, or with a professional, and have a person accept it before it is public. Sales packs are described in the 18 June 2026 news as information at listing, with legislation timed to the end of the Parliament. This is a reading of those pages, not legal advice.

What should an Indian promoter keep before a quarterly project update?

MahaRERA's page says project information should stay up to date under section 11, and that data untouched for more than 90 days may draw action. UP RERA's guide for the quarter ending 30 September 2026 says the progress report is complete only when achievements, photographs and videos, and all three digitally signed certificates are submitted, architect then engineer then chartered accountant. Gujarat's procedure gives seven days from the quarter end, says the return is not revised later, and locks later quarters if this one is missed. Maharashtra says an uploaded document cannot be withdrawn, and a building completion date cannot pass the revised proposed date. Keep a local copy and a status of waiting until the signed PDFs are stored. This is a reading of those pages, not RERA advice.

When is custom property software a better fit than a spreadsheet and a portal login?

Custom software fits when the same office must hold UK listing fields and Indian quarterly packs, when three professionals must sign in order, when you need a history of who accepted a figure the portal will not let you delete, or when other branches will use the workflow. A spreadsheet is enough only while one person can still name the property, the source and the status. Cogitix builds the software beside the portal. It does not replace the accounts ledger, and it does not sign a professional's certificate.

What should a 90-day real estate pilot include?

One property or one tower, one team, a rollback, and a human checkpoint before any tenure, percentage, completion date or certificate is sent. Recount fields still waiting, listings that went out with tenure blank, and quarters that would have been incomplete because one certificate was missing. At day 90, add a second property or stop. Cogitix does not publish a standard savings percentage, because that number would not describe your office.

Does Cogitix publish a phone number or a street address?

No. The site publishes the email hello@cogitix.io and hours of Monday to Saturday, 9:00 am to 6:00 pm. A telephone number and a street address are not listed. Cogitix serves clients worldwide.
