Direct answer. Hospitality businesses in the UK and India grow with AI, automation and custom software when one trading file holds the night or the cover, the source of the wage rate, the rates bill or the GST treatment, a status, and the name of the person who accepted the price or the return, before that price is published or that return is filed. Cogitix builds that file beside the property system and the accounts the venue already uses. This article does not invent a savings percentage.
The examples are patterns, not client stories, and this is not tax, employment or licensing advice. The rates package is for England. A property in Scotland, Wales or Northern Ireland keeps its own bill. The wage rates are the UK rates in the Budget. The GST notes are a reading of a state FAQ and of a guide checked on 3 August 2026. Cogitix is not a hotel or a tax agent, and it serves clients worldwide.
What file is checked before a price or a return?
A UK menu price and an Indian room rate both need a number a person can defend. That number is still split across a rota, a rates bill, a booking screen and a GST working.
The next UK date is 1 April 2027. The Budget 2026 document says the National Living Wage rises by 3.9% to £13.21 an hour, equivalent to £910 more in gross annual earnings for a full-time worker on that wage. The same page sets the 18-to-20 rate at £11.27, the 16-to-17 and apprentice rate at £8.31, and the accommodation offset at £11.53 a day, each up 3.9%. It expects the increases to benefit around 2.3 million workers across the economy. It does not give a hospitality-only count.
For England, the Budget raises Small Business Rates Relief on qualifying retail, hospitality and leisure properties to £18,000 rateable value for full relief, from £12,000, and to £21,000 for the taper, from £15,000. It says this takes around 70,000 more high street businesses out of rates, including an additional 3,500 pubs, 3,900 restaurants and 2,200 cafés. From April 2027 those businesses see rates frozen in real terms, reduced, or cut to zero. Extra relief for pubs, social clubs and live music venues brings the total to 35%, which the Budget calls a tax cut worth an average of over £3,000 per pub next year. Those are averages in the document. They do not name your property.
Business rates information letter 8/2026, dated 28 October 2026 and updated on 30 October 2026, is for billing authorities in England. For 2027/28 the multipliers are 49.7p standard, 44.7p small business, 44.5p standard retail-hospitality-leisure, 39.5p small-business retail-hospitality-leisure and 52.5p high-value. The real-terms cap skips improvement-driven rises in rateable value, and lost improvement or hardship relief after 1 April 2026. A property vacant on 1 April misses the freeze. Live music venues at £1 million rateable value or more stay on 15% relief, and other pubs and live music venues move from 15% to 35%. The annex says the regulations are still to come.
Why does a split trading file hurt?
A full room can still fail to pay when the wage, the rates bill and the tax treatment sit in different places.
On 23 October 2026 UKHospitality, with the British Beer and Pub Association, the British Institute of Innkeeping and Hospitality Ulster, said 74% had seen electricity rise in three months, 65% gas and 61% heating oil. Looking ahead, 88% named food and drink inflation as the biggest non-tax concern and 80% named energy, and 80% said the environment is stifling investment. The joint line is that strong sales are not healthy profits.
HaysMac, on 20 October 2026, reports a September lunch of more than 90 hotel operators. Costs were a major challenge for 88%, recruitment still troubles 64%, and 68% are concerned about visitor levies. Technology drew the strongest agreement: 91% said it will matter more for efficiency and profitability.
The Caterer on 28 October 2026 quotes operators who have to price the night. Tommy Banks said a full restaurant can still struggle to pay. Allen Simpson said hospitality pays 82p in business taxes for every pound it makes. Steve Alton of the British Institute of Innkeeping said the wage change means an average of £1,000 more for every full-time member of staff from April 2027, and that only 1 in 4 pubs made a profit in 2026. The Budget's £910 is the worker's gross earnings. The Institute's £1,000 is its statement of employer cost.
Hotelivate on 16 October 2026 covers 2,168 branded hotels and 2,09,180 rooms. In 2025/26 average rates rose 6.4% to ₹8,962 and occupancy was 68.1%. Roughly one in four hotels in the sample saw revenue per available room fall. ₹8,962 is the sample average, not one unit on one day.
Where should a venue start?
Keep the property system, the rota and the return the accountant already files. Add one record for one queue: an England property to price for April 2027, or one Indian premises. Each field has a source, a status of known, waiting, not applicable or needs a person, and the name that accepted it. Waiting is honest. Keep a rollback. That is where digital transformation consulting should start.
How do four steps put the night on one record?
1. Write the night once
Store the property, the date, the unit or the cover, the actual value, and the source. England also stores rateable value, occupation on 1 April, and the property type. India stores that day's unit value and the year's premises status as two fields. Capture it with custom web development or a mobile app the duty manager already opens.
2. Ask the person who knows
The rateable value, the age band and the room value come from the person who read the bill or the booking. An assistant may chase a blank or a net-only settlement. It must not invent a relief, a wage, a GST rate or a credit. That limit is AI agent integration, the same limit as the note on autonomous agents.
3. A person accepts the field before the price goes out
A model may suggest a pub, or a room near ₹7,500. A person accepts the field. Software can refuse a price with no wage source, an England estimate with no rateable value, a pub relief copied onto a hotel, and an Indian restaurant rate with no premises status. It cannot decide the bill.
4. Send one pack a person has read
England's April 2027 pack uses accepted fields only. India keeps the unit-day value apart from the annual status, and the gross agent booking apart from the net. Guest lines at a supported figure are answer engine optimisation and generative engine optimisation. Several properties on one history is cloud-based SaaS. A workflow other groups will run is end-to-end product development.
What is different for UK hotels and restaurants?
The 35% relief is for pubs, social clubs and smaller live music venues. A hotel that is not a pub does not inherit it. The visitor levy stays waiting: The Caterer quotes Jon Hendry Pickup of Butlin's on a holiday tax the government has not explained, and Gavin Taylor of Clermont Hotel Group on wages, National Insurance, VAT and rates arriving together. A British pattern, not a client: one property, wage band and relief known or waiting. The logistics guide uses the same split.
What is different in India?
The room and the restaurant do not share one rate. The Karnataka GST FAQ sets out Notification No. 05/2025-Central Tax (Rate) of 16 January 2025, in force from 1 April 2025. A premises is specified for a financial year when any unit in the preceding year was supplied above ₹7,500 a day, or when the supplier opted in for that premises. A registered supplier files Annexure VII from 1 January to 31 March of the preceding year. Restaurant service at a specified premises is 18% with input tax credit. Outside those premises it is 5% without credit. The status lasts the year, the window has no grace period, and 31 March is final. One premises does not set the status of another on the same registration. An old opt-in continues until an opt-out is filed in a later window.
CA Jigar Shah's guide, checked on 3 August 2026, reads accommodation from 22 September 2025 as 5% without credit up to ₹7,500 per unit per day and 18% with credit above it, on each unit and each day. In his illustration ₹7,500 itself stays on the 5% side. One suite at ₹8,000 in 2025-26 would ordinarily make that premises specified for 2026-27 without changing this year's restaurant rate. He says a registered hotel should keep an online-agent gross, the commission, tax collected at source and the net on separate lines. He labels this as general professional information.
On 2 November 2026 the window for 2026-27 has closed. The next window, taking effect on 1 April 2027, runs from 1 January to 31 March 2027, the same April date as the UK wage and rates change. A room sold above ₹7,500 now can set next year's restaurant rate and leaves this year's rate unchanged. Hotelivate's average does not answer one unit. An Indian pattern, not a client: one premises, unit value and annual status apart. Shops use the retail guide. Payment firms use the fintech guide.
Should you buy, configure, or build?
Buy or configure when the product already stores the field, the source, the status and the person who accepted it. Build when one office holds an England rates bill and an Indian GST file, when pub relief must stay off a hotel, when one suite must not set every property's restaurant rate, or when gross and net will not export from the vendor screen. A person still publishes the price and still files the return.
What does a 90-day pilot include?
Days 1 to 15. One property. List missing fields, the rollback, and who may see wage and tax workings.
Days 16 to 45. One team. A price or a return line goes out only after a person accepts it.
Days 46 to 75. Recount fields still waiting: prices with no wage source, England estimates with no rateable value, Indian restaurant rates with no premises status. This guide has no benchmark percentage.
Days 76 to 90. Add a second property on its own file, or stop. It does not inherit the first relief or the first specified-premises flag.

Questions about hospitality software with Cogitix
What is Cogitix?
Cogitix, short for Cogitix Tech Solutions, is an AI agency. It builds AI agents, AI automation and AI-powered custom software, and it delivers working software quickly for clients worldwide. The canonical website is https://www.cogitix.io/. The cogitix.in domain is an alias of the same site. The public email is hello@cogitix.io.
What should a UK hotel or restaurant keep before it prices April 2027?
The Budget 2026 document says that on 1 April 2027 the National Living Wage rises by 3.9% to £13.21 an hour, the rate for 18- to 20-year-olds rises to £11.27, the rate for 16- to 17-year-olds and eligible apprentices rises to £8.31, and the accommodation offset rises to £11.53 a day. It says the £13.21 rate is equivalent to £910 more in gross annual earnings for a full-time worker on the National Living Wage, and that the increases are expected to benefit around 2.3 million workers across the economy. For England, the same document and business rates information letter 8/2026, updated 30 October 2026, set Small Business Rates Relief for qualifying retail, hospitality and leisure properties at £18,000 for full relief and £21,000 for tapered relief, a real-terms freeze with stated exclusions, and 35% relief for pubs, social clubs and smaller live music venues in 2027/28 and 2028/29. Keep the wage band, the rateable value, occupation on 1 April and the property type as known or waiting, and have a person accept them before the price is published. This is a reading of those pages, not tax advice.
What should an Indian hotel keep before it uses a GST rate?
The Karnataka GST FAQ says a premises is specified for a financial year if any unit of accommodation was supplied above ₹7,500 per unit per day in the preceding year, or if a valid opt-in was filed for that premises. Restaurant service at a specified premises is 18% with input tax credit, and restaurant service outside specified premises is 5% without input tax credit. The status lasts the financial year. Declarations for a registered supplier are filed between 1 January and 31 March, with no grace period, and they take effect from the following 1 April. CA Jigar Shah's guide, checked on 3 August 2026, reads accommodation from 22 September 2025 as 5% without credit up to ₹7,500 per unit per day and 18% with credit above that, tested on each unit and each day. He says the hotel should record the gross online-agent booking, and should keep commission, discounts, cancellations, tax collected at source and refunds on separate lines. Keep the unit value and the annual premises status apart, and have a person accept them before the rate is used. This is a reading of those pages, not tax advice.
When is custom trading-file software a better fit than a spreadsheet and a booking screen?
Custom software fits when the same office must hold an England rates bill and an Indian GST file, when a pub relief must stay off a hotel, when one suite must not set the restaurant rate for every property in the group, or when the online-agent gross and the net settlement have to live outside a vendor screen. A spreadsheet is enough only while one person can still name the night, the source and the status. Cogitix builds the software beside the property system. It does not publish the price, and it does not file the return in place of the person who is allowed to send it.
What should a 90-day hospitality pilot include?
One property, one team, a rollback, and a human checkpoint before any price or return line is sent. Recount fields still waiting, prices with no wage source, England estimates with no rateable value, and Indian restaurant rates with no premises status. At day 90, add a second property on its own file, or stop. Cogitix does not publish a standard savings percentage, because that number would not describe your rooms.
Does Cogitix publish a phone number or a street address?
No. The site publishes the email hello@cogitix.io and hours of Monday to Saturday, 9:00 am to 6:00 pm. A telephone number and a street address are not listed. Cogitix serves clients worldwide.
